Quick Start Guide
Get up and running with SmartHubs after your purchase and implementation. Follow these steps to configure your account and activate your licensed modules.

Prerequisites
Before you start, make sure you have:
- Completed your purchase agreement with SmartHubs
- Finalized the initial implementation phase with our team
- Received your account credentials and access information
- Identified an admin user to manage account setup
- Documented which modules are included in your license
- Team member list with roles and module access requirements

Your organization receives pre-configured credentials and implementation details from our sales team.

1. Receive Your Account Credentials
After your purchase agreement and initial implementation fee are completed, SmartHubs will provide your organization with pre-configured account credentials. These credentials are created beforehand by our team and include:
- Admin user account login details
- Organization workspace pre-configured
- Active modules based on your purchased license
- Access documentation and support resources
2. Admin User Setup
The designated admin user logs in to the SmartHubs platform using the provided credentials. The admin dashboard provides access to account settings, user management, and module configuration.
From the admin interface, you can:
- Customize organization settings and branding
- Configure workspace preferences
- View active modules in your license
- Access user management and permission controls
- Review module-specific settings and workflows
3. Configure Module Permissions
SmartHubs is a modular platform. Each module provides distinct workflows and capabilities depending on your purchased license. Your organization has access to specific modules based on your license agreement.
Understanding SmartHubs Modules:
Each module includes specialized workflows, features, and tools tailored to specific use cases (e.g., internal audit, GRC, compliance). The workflows and access levels within each module depend on your purchased license tier and user roles.
The admin user should:
- Review the modules included in your license in the Admin Settings
- Understand the workflows available within each module
- Plan role assignments based on module access needs
- Configure module-specific settings and preferences
- Document which modules your team members need access to
4. Create User Accounts
The admin user creates individual accounts for each team member. Go to "User Management" in Admin Settings and click "Add User". For each team member, the admin will:
- Enter the team member's email address and full name
- Assign an appropriate role from the default role hierarchy
- Grant access to specific modules based on their license and responsibilities
- Configure any additional permission overrides if needed
Default SmartHubs Roles:
- Admin: Full account access, manages users, roles, and module settings. Creates and configures all organizational elements.
- Manager: Oversees team members and projects. Can access modules assigned to them and manage workflows. Limited user management within their scope.
- User: Primary operating role with full module access for their assigned modules. Can execute workflows and collaborate on projects.
- Viewer: Read-only access to assigned modules. Can view reports, findings, and data but cannot create or modify content.
- Auditor: Specialized access role for audit-specific workflows. Can execute audit procedures, document findings, and gather evidence within assigned modules.
The admin can further customize permissions by controlling which modules each user can access based on their role and the license tier.
5. Enable Team Collaboration
Once user accounts are created with appropriate roles and module access, team members can log in and begin using the platform. They will see only the modules and features they have been granted access to based on their role and license tier.
The admin should communicate to team members:
- Their assigned role and what it means for their access level
- Which modules they have access to and how to use them
- The specific workflows available within their assigned modules
- How to request additional access or module permissions if needed
- Support resources and where to find documentation
6. Begin Platform Operations
With your team configured and module access set up, you're ready to start using SmartHubs. Each team member will begin working within their assigned modules, leveraging the workflows included in your license tier.
Depending on your purchased modules, your team can now:
- Execute module-specific workflows and processes
- Collaborate on projects and tasks
- Generate reports and insights from their assigned modules
- Track progress and manage outcomes
- Leverage features tailored to your license tier
